Your New Role...
The Distribution Sales Service Coordinator holds a key role in the Distribution team. The person works at the heart of the department and is making sure the “clockwork” of the business is running smoothly. We are looking for a detail focused person who is self driven, a good communicator and open to take on a great variety of tasks. The person makes sure the distribution business has all contracts in order, knows termination deadlines, makes sure all necessary processes are kept in order and is a key poc for internal and external stakeholders.
Please note this position is part time, 25 hours a week.
Your Role Accountabilities...
Answering customer inquiries in German and English
Oversight of PO number creation
Responsible for keeping address data sets up to date for events and mailings
Taking a lead position for setting up contract details in the core contract storage system (DORS) and making sure the approval process is in line with policies
Supervision of signature processes both manually and electronically via DocuSign
Organising phone calls and team meetings
Being an expert on billing matters, reviewing and resolving issues where they arise
Checking and ensuring payments of incoming invoices
Key role in supporting the billing and collections teams
Review of reports and A/R invoices
Electronic filing of important documents, contracts, and invoices
Creation and preparation of high-quality presentations in German and English
Liaising with key stakeholders from various departments locally and internationally
Optimising internal processes
Qualifications and experience...
Fluency in German and English
Media work experience
High level of proficiency in MS Outlook, Excel & PowerPoint
Self-driven mindset and a team player
High attention to detail
Good communication skills and ability to collaborate with multiple global stakeholders within a matrix organisation
Understanding of TV / Media landscape in Germany, Austria and Switzerland preferred
