We are looking for potential talents and creative thinkers who would see themselves on a position of Switchboard - Office Assistant.
As Switchboard Office Assistant you provide support in order to ensure arrangements for business travel and meetings. You are responsible also for tasks in connection to administration. By acting in line with our values and being a role model,you contribute to H&M's business success.
WHAT YOU DO:
- Provide support in order to ensure that our guests and employees are provided for in an effective and efficient manner (in person and over the telephone)
- Maintain a tidy reception area
- Operate telephone lines in an effective and efficient manner
- Manage meeting room bookings and meeting setup
- Arrange SO events, i.e. monthly meetings, holiday events
- Order and control office supplies – both stationary and kitchen
- Ensure documentation workflow – couriers, mail
- Assist all travelers (outgoing/incoming) with international business travel or home leave travel as per Travel routine; it includes hotel booking, local transport, local/international ticket booking, reconfirmation of tickets, issuing invitation letters, etc. according to Travel Routines
- Provide accommodation, train/flight tickets and taxi transfers in connection to Openings/Rebuilding
- Update colleagues about new office routines and create information flow about changes
- Liaise with building management and Cleaning Team supervisor
- Liaise with service providers and IT Dept in case something is not working properly (including feedbacks)
